Freeze Frame 2016 - Competition Rules & Registration Instructions
Eligibility & Rules:
Tri-Valley Conservancy’s (TVC) 2016 “Freeze Frame!” Photo Competition (the "Competition") is open to all artists (applicants) excluding employees, Board of Directors (BOD) and Advisory Council of TVC, judges and any family members of the above.
- Each entrant agrees to the contest rules and states they are at least 18 years old or will have a parent or guardian sign their photo release form.
- This year we are including a Youth category. All Youth who enter the contest must be in grades 6 – 12.
- Applicants may submit as many photos as they would like, but no photographer will be eligible to receive more than two monetary awards. Each finalist must submit a printed and mounted photo - the overall size of the submitted photo must equal 18”x 24”.
- Upon submission of paid registration you will receive specific instructions on how to upload your photo(s) to our secure site.
- All submissions must be uploaded by July, 31st at 5 PM. If your photo advances to the finalist round, you must deliver a printed copy to TVC at 1457 First Street, Livermore, by Aug. 15th at 5PM.
Event Schedule:
- July 1, 2016 (Friday): Registration Begins. Please register online: Here
- July 31, 2016 (Sunday) – 5:00 PM: Registration Deadline – Last day to register online and upload photo(s).
- August 5, 2016 (Friday): Finalists will be notified via email if they have made finalist status and will be required to provide a mounted photo for final judging.
- August 12, 2016 (Friday) – 5:00 PM: Finalists must turn in printed & mounted photo with Release form(s) found appended at the end of the Freeze Frame 2016 - Competition Rules & Registration Instructions.
- August 22, 2016 (Monday) – August 26, 2016 (Friday): Facebook voting for the “People’s Choice Award” for the adult and youth categories which will be held for a one-week period to begin after the “Top 12” finalists are selected. The general public will select the “People’s Choice Award” winner for the youth and adult categories from the “Top 12” finalists by a Facebook poll. Voting is limited to one vote per person per poll.
- August 29, 2016 (Monday): Top 3 Finalists & People’s Choice will be notified and they, along with their guests are invited to the Freeze Frame Awards Ceremony on September 1st.
- September 1, 2016 (Thursday) – 6:00 PM to 8:00 PM: Freeze Frame Awards Ceremony: Awards - First, Second, Third place and People’s Choice winners in the adult and youth categories will be awarded at TVC’s Annual Freeze Frame Awards Ceremony at the Robert Livermore Community Center in Livermore. The “Top 12” photos will be displayed including the “People’s Choice Award” before all winners are announced. All contest entrants will receive complimentary tickets to attend the event with the guests of their choice.
- December 1, 2016 (Thursday): The “Top 12” photos will be published in a calendar available for purchase in support of the Tri-Valley Conservancy’s mission. All entrants featured in the calendar will receive a complimentary copy of the 2017 calendar.
- January – August 2017: A compilation of adult and youth Freeze Frame! ”Top 12” to “Top 25” photos will be part of a traveling exhibit to be displayed at various locations, including but not limited to: Livermore Public Library, Robert Livermore Community Center, select area wineries and the TVC office.
What to Photograph:
TVC is looking for striking images of nature highlighting the diversity of life in the Tri-Valley.
- All types of agriculture and ranching.
- Scenic rural locales in Livermore, Pleasanton, Dublin, San Ramon, Sunol, & Danville.
- Recreational uses/activities (i.e., trail or field usage) in parks and recreational areas within aforementioned locales.
- If you include likenesses of people in your submission, you are responsible for providing a signed copy of the Subject Release Form to TVC upon submittal of your photo. Applicants must not submit images that involve the willful harassment of wildlife, damage to the environment, put any individual or animal in danger, or infringe on the rights of any other artist, property owner or person. All images should accurately reflect the subject matter and the scene as it appeared.
How to Enter: (Entry must be completed between July 1st and July 31st at 5PM)
Step 1 - Registration
- Applicants must register online at Freeze Frame 2016 Registration and pay registration fee, if applicable
- Cost to register is $25.00 for the first entry, $10.00 for each additional photo submitted by the same photographer
- Amex, Visa, MC and Discover are accepted
- Youth entries are free
- If you are registering as a youth please use the discount code YOUTHFF2016 to receive a 100% discount on your registration fees.
Step 2 - Photo Submission
- Submit your photo digitally. After paid registration is complete, you will be sent a link to upload your photo to a secure website. Preliminary judging will be made from digital images.
- Uploaded files must meet the following minimum criteria:
- File Format: JPEG
- Compression: No less than level 8
- Color Profile: sRGB
- Resolution: 3200 x 2400 (minimum)
- Submitted photos must contain the following information:
- Your Name:
- Title of photograph:
- Date photo taken:
- Location of photo:
- If you are selected to be a finalist you must submit a printed photo, mounted on an 18” x 24” backing board with a minimum 2” white matte (your photo size is undefined but it must be matted with a finished overall size of 18” x 24”) and the Artist Release Form. This photo will be used for final judging and must be submitted by Aug. 15th at 5 PM. Submitted photos not included in “Top 25” may be retrieved by artist from TVC office between the dates of September 6th and September 30th. All photos remaining after this date will be considered the property of TVC.
Judging:
- Youth and Adults will be judged separately
- The judging panel will pick the “Top 40” finalists from the uploaded digital images in each category
- The “Top 25” photos will be judged from the submitted mounted photos. The judges will then select the “Top 12” and 1st, 2nd, and 3rd place winners for each category.
- The People’s Choice Award will be announced at the Freeze Frame Awards Ceremony, on September 1st. The winning photos, 1 from each category, will be selected by votes received via Facebook polling.
- Photos will be judged on originality, technical excellence, composition, overall impact and artistic merit. The judges are a mixed panel of photography enthusiasts consisting of TVC volunteers and staff familiar with photography and responsible for selecting images for marketing materials. TVC’s panel of judges shall determine winner eligibility in its sole and absolute discretion. All decisions made by the judges are final.
Winning Photos (Top 12):
- Prizes for winning photos will be awarded at TVC’s annual Freeze Frame Awards Ceremony on September 1, 2016. No photographer will be eligible to receive more than two monetary awards.
- The “Top 4” Finalists in each category will be notified of their finalist’s status by August 29th and will receive complimentary tickets to the event for themselves and their guests.
- For any “Top 12” Photos sold at TVC’s fundraising auction, artist will be required to provide TVC with a replacement photo for the “2016 Exhibits”. TVC will pay Artists $100 for an exact duplicate to that submitted for the contest. Without a replacement photo, artists will not be able to participate in the “2016 Exhibits”.
- Winning photos will be used to promote TVC and will be made into a calendar in support of TVC’s mission in lieu of any sales commission to TVC. Thank you for your support.
Adult Category:
- First Prize: $250
- Second Prize: $125
- Third Prize: $75
- People’s Choice: $100
Youth Category:
- First Prize: $200
- Second Prize: $100
- Third Prize: $50
- People’s Choice: $100
2016 Exhibits (“Top 25”)
TVC has secured exhibit space at various locations in 2017. The “Top 25” photos will be exhibited at these venues depending on space availability. We are proud that several of our prior years’ Freeze Frame! “Top 25” artists have sold their exhibited photos and received much press for their work.
Anyone interested in purchasing a photo from our traveling exhibit will be referred to the individual photographer to make purchase arrangements. TVC does not collect commissions on any sale, but reserves usage rights to utilize photos in PR and marketing endeavors on behalf of TVC.
